Security & your data
Your books are yours. Here’s how we keep them safe.
Who can see your data, how it’s protected and backed up, what happens after the beta, and how to take everything with you if you leave. Plain answers, taken from our Terms and Privacy Policy.
Who can see your data
- Only people in your company. Every company’s records are walled off from every other company’s, and tested that way.
- Uploaded documents live in a private store no browser can reach directly.
- A file dropped on the upload page, before anything is made from it, is seen only by the person who uploaded it and your company’s owner.
How it’s protected
- Tax ID numbers, bank details and statements, documents, and your suppliers’ and customers’ addresses are encrypted in transit and at rest.
- Passwords are hashed. GodKey sets no cookies, and runs no ad or tracking pixels.
- We don’t sell your data or share it for anyone else’s advertising.
Backups
- Your data is backed up every night, encrypted, and copied off-site.
- Each night’s backup is restore-tested, so we know it works before we ever need it.
- If the backup system ever pauses, existing copies are kept until it runs clean again, and our monitoring alerts us within a day.
Documents read for you
- A statement, supplier invoice, bill or receipt you upload to be read is sent to the AI reading service (Anthropic) only to prepare the summary you check.
- Nothing from it goes into your records until you say it looks right. A spreadsheet or CSV file GodKey can read itself is never sent.
- Anthropic’s terms say it may not train its models on that content.

What happens to my data if I don’t pay after the beta?
GodKey MFG is free until March 31, 2027. After that a paid plan is needed to keep using it. You’ll get at least 30 days’ written notice of the price first, and nothing is charged automatically: a charge happens only after an owner of your company picks a plan.
If no plan has been paid for by April 7, 2027, the company is suspended: no one can use it until a plan is paid for, but an owner can always download all of the company’s data or close the company. A company that stays suspended for 12 months is closed, with 30 days in which paying restores it.
How do I get all my data out if I leave?
Email support@godkeymfg.com before you close and we’ll help you export it. You can also ask us to access, correct, export or delete your data at any time — we verify it’s you, then act on it.
How do I close my company, and when is the data gone?
Owners close the company in GodKey under Settings, Company details. Every owner approves, and for 30 days after closing an owner can restore it. The company’s data is removed from GodKey 30 days after closing, and every backup copy is deleted no more than 92 days after that. If our backups ever stop running, deletion waits until they run again. Your login is yours and isn’t deleted along with a company.
Who owns the data I put in?
You do. For the business records your company enters, we act as your company’s service provider to run the app. You can ask for a copy or deletion at any time.
What if something goes wrong?
No system is perfect. If a breach ever affects your data, we’ll follow our breach-response plan and notify you as the law requires. During the beta the service is provided as is: we work hard to keep it running and backed up, but we can’t promise it’s free of bugs or interruptions.
